Job Title: Publications Specialist, Medical Publications
Describe the primary goals, objectives or functions or outputs of this position.
The Publications Specialist provides support for the management/execution of scientific publications in accordance with publications business processes, ensuring adherence to established timelines and client policies and procedures. This role manages entries and activities within departmental systems ensuring records are accurate and up-to-date. This role provides operational support for contract, vendor and publication management and compliance tasks.
?Manage workflow for scientific publications in accordance with publications business processes. Ensure all activities in support of scientific publications adhere to established timelines and client policies and procedures.
?Manage publication processes such as obtaining/confirming author agreements, following-up with authors, and routing drafts and/or approvals ensuring compliance. Route licensing partner publications in accordance with business processes.
?Oversee and manage encore abstract and/or poster development and submission including updates of data tables, graphs and figures with new data.
?Create and maintain scientific publication records within departmental tracking systems. Ensure records are accurate and up-to-date, working with Medical Publications staff to obtain necessary information. Assist with Datavision alignment across functions.
?Conduct quarterly QC review and confirmation of database records prior to departmental metrics exportation.
?Provide support for updating project plan timelines, archiving publications to departmental Repository and adjusting publication tactical plans based on Publication Team minutes.
?Facilitate creation of the monthly departmental highlights, in conjunction with Sr. Publications Managers.
?Draft Medical Publications communication summaries and notifications
?Consistently apply compliance requirements to deliverables and contracts with vendors. Manage review/approval processes with vendor and monitor progress through publication approval.
?Confirm invoice accuracy for managed and/or outsourced projects; approve and process invoices by established due dates and time lines.
?Maintain productive and collaborative working relationships with department staff, Affiliate staff, and other stakeholders involved with Medical Publications.
?Bachelor of Arts or Bachelor of Science Degree required.
?Microsoft Office and Internet navigation proficiencies essential.
?Background in scientific research and/or familiarity with medical terminology preferred.
?Ability to prioritize multiple tasks and/or projects with limited supervision is a necessity.
?Project management experience preferred.
?Pharmaceutical or related industry experience preferred.
?Experience with publication management software or publication document support preferred.
